How to Build a Conference Video Run of Show in Washington DC
A conference video plan should be built from the programme, not from a generic shot list. The useful document is a camera-aware run of show that identifies what must be recorded, where the crew has to move and which moments cannot be repeated.
Mark the non-repeatable moments
Keynote starts, award presentations, panel introductions and sponsor remarks receive exact times and room names. Each one also gets a coverage priority: full recording, short highlight coverage or a safety shot. This prevents a secondary reception detail from pulling a camera away from the main programme.
Add room changes and walking time
Washington DC conferences often move between a ballroom, breakout rooms and a reception area. The schedule must include the physical transition, not only the published session time. When two important sessions overlap, the decision is made before the event: add a crew position or choose which recording has priority.
Assign an audio source to every session
Each recorded room lists the expected source: house console feed, podium microphone, panel microphones or an independent backup. The production contact and AV contact should agree on the handoff before doors open. A camera microphone remains a reference track, not the primary plan for speech.
