WASHINGTON DC EVENT VIDEO GUIDE
Washington DC Event Video Deliverables and Timeline
Delivery planning starts before the event because the requested outputs determine capture, staffing and approvals. A clear package also keeps a full-session recording, a highlight film and short social edits from being treated as interchangeable versions of the same file.
Separate programme recordings from story edits
A complete keynote or panel prioritises continuity, clean slides and uninterrupted audio. A recap film prioritises variety, pacing and a concise narrative. When both are required, the production plan protects the full recording while a second coverage layer gathers reactions, details and transitions.
List every aspect ratio and caption requirement
Landscape, square and vertical outputs use the frame differently. The brief should say which formats are required and whether captions, speaker names, logos or a branded end card are needed. That information affects composition and the amount of safe space captured around a subject.
Build review time into the deadline
The delivery date should include internal review, consolidated notes and any legal or speaker approval. One named reviewer reduces conflicting feedback. If a next-day clip is required, identify that specific clip and its approver instead of applying an emergency deadline to the entire package.
Define the handoff and archive
Confirm how final files are delivered, how long source material is retained and whether the client needs caption files, clean masters or selected raw footage. These are separate outputs and should be named in the scope rather than assumed after the edit is complete.
